Job Title: Crew Manager (Full Time)

Reports To: Director of Operations, General Manager, CEO

The Position

We are seeking a skilled and detail-driven Crew Manager to oversee the human side of our production operations. This role is responsible for building, scheduling, and supporting the freelance and internal crews that bring our events to life. From onboarding to payroll to on-site leadership, the Crew Manager ensures our people are aligned, prepared, and in a position to succeed.

This role demands sharp organization, exceptional communication, and a thoughtful, people-first leadership style. You’ll serve as the bridge between our project managers and our crews and work to make sure our teams are strong and cohesive on show-site.  

Key Responsibilities

Scheduling & Staffing

  • In coordination with Project Managers, build tailored teams for each event based on scope, scale, and specialty needs.
  • Staff, schedule, and assign both internal team members and external freelancers across a variety of roles.
  • Negotiate rates, set expectations, and clearly communicate roles and responsibilities to every crew member.
  • Maintain up-to-date internal crew schedules and ensure alignment with personnel budget and margin targets.

Payroll & Documentation

  • Review and process crew invoices, cross-check hours and rates, and ensure accurate payroll data submission.
  • Address any discrepancies in external payroll and resolve them in coordination with contractors and accounting.
  • Own the onboarding experience for all external team members, including documentation and orientation with brand expectations.
  • Maintain clean and detailed documentation across spreadsheets, software, and reports. 

Communication & Leadership

  • Manage all incoming and outgoing crew communications on behalf of project management, ensuring clarity and consistency.
  • Serve as a working crew steward on select events, helping to organize staff and model professionalism.
  • Represent ATXES with integrity and warmth, helping crew feel supported and aligned with our values.
  • Identify and spearhead opportunities to develop and strengthen the skills and camaraderie of our community.  

Qualifications

Experience & Education

  • 5+ years of experience in live event production or a related industry.
  • Proven experience managing small teams in high-pressure environments.
    Strong preference for candidates with experience handling contract staffing or crew management at scale. 

Technical & Administrative

  • Advanced spreadsheet and documentation skills (Google Sheets, Excel).
  • Math & Financial acumen forecasting personnel costs and managing budgets. 
  • Demonstrated experience working as a lead Audio, Video, or Lighting Engineer preferred.
